Program Description
This program can be found on the Service File Maintenance menu (SD-3-13). This program allows you to add, change, or delete records in the Accessory database file. Accessories are used when associating an item with a host item. For example, a sorter or stapler would be an accessory for a copy machine.
Rev 15 Changes
An option has been added to this file maintenance program to load accessories by the Host Serial Number and Accessories Serial Number versus having to enter the Host Item Number, Host Serial Number, Accessory Item Number and Accessory Serial Number. This new option will allow the operator to enter several accessories for a single host machine by only entering the Host Serial Number once.
When the operator enters the program the question “Do You Wish To Add Accessories By H’ost Serial # Or Perform Normal A’ccessory File Maintenance” will be asked.

If an A for Accessory is entered, the program will act like it did prior to Revision 15. The operator will need to enter A for add, enter the Accessory Item Number, Accessory Serial Number, Host Item Number and Host Serial Number in order to add a record. The following screen example is what is displayed when the operator enters A for Accessory.

If the operator enters “H” for Host Serial Access, the following screen will display:

The operator should first enter the Host Serial Number. Serial Number search works at this prompt. The operator can also enter an * and enter the ending part of the Serial Number to search for machines.
Once the host machine is chosen, the operator will be asked for the Accessory Serial Number. Again, Serial Number search works at this prompt, and the operator can enter an * and the ending part of the Serial Number to search for machines.
The program will validate that that combination of Host and Accessory do not already exist in the Accessory file (SERACC.DT). If it does, a message will be displayed and the operator will be asked to reenter the Accessory Serial Number.
The program will then validate that the Accessory entered is not already linked to another Host machine in the Accessory file (SERACC.DT). If it does, a message will be displayed telling the operator what Host Item Number and Host Serial Number the machine is linked to and ask if they would like to continue. The Accessory file does allow for Accessories being linked to more than one Host machine.
Once the program has performed the initial checks, it will ask the operator for the Installation Date. This will default to the system date on the first record the operator is adding. If the operator overrides the date, the new date will become the default for the next record being added.
The program will then ask for the initial meter reading. This will default to 0 on the first record the operator is adding. If the operator overrides the meter reading, the new meter reading will become the default for the next record being added.
The Accessory Description is usually asked when doing an add in normal Accessory File Maintenance. Using the Host Serial Number method, will default the Machine Description into the Accessory Description field automatically.
A record will be added to the Accessory file (SERACC.DT). It will also write the Host Item Number and Host Serial Number into the SERIAL record of the Accessory. Note: when adding/changing/deleting a record in normal Accessory File Maintenance the Host Item Number / Serial Number is not affected by this program. Also note, the install meter reading and install date in the Serial File do not get updated by adding a record using either the Host Serial or the Accessory method.
Once a record is added, the program will return to the Accessory Serial Number prompt. The operator can enter the next Accessory for the Host. Once all of the Accessories have been added for the Host, the operator can enter an E at the Accessory Serial Number prompt and the program will return to the Host Serial Number prompt to allow entry of a new Host machine. To end out of the program, the operator can enter E to end at the Host Serial Number prompt, or a “/” at any prompt.

Program logic was added to display a warning if an Accessory Item Number and Accessory Serial Number was entered that is already on the system attached to a different Host Item and Host Serial Number. The warning message is as follows: Record Already Exists For This Accessory Item/Serial Number. Continue (Y/N). The Host Item Number and Host Serial Number will also be displayed. If the Accessory Item and Accessory Serial number exists more than once, only the first Host Item and Host Serial Number it finds will be displayed.
