Program Description
This program can be found on the Service Reports Service History Reports menu (SD-4-4-18). This report provides cost per copy information on one serialized machine or for one model number of a machine, thus by item number. The information can be used to aid in the pricing of service contracts. Information included on the report is the Average Monthly Volume (AMV), Mean Copies Between Failure (MCBF), and Mean Copies Between Calls (MCBC). Also included is service call data which is the number of failure calls, and the total number of calls for the previous year, twelve months back. There is the option to exclude specific types of service calls from being added into the number of failure calls, such as Call Backs (CB), Shop Calls (SH), Technical Assistance (TA), and Courtesy Calls (CC). Hold For Parts (HP), Custody (CU), and Preventive Maintenance (PM) service calls are never included as failure calls. The Last Meter Reading, Install Date, and Start Meter are also included.
The Cost Per Copy (CPC) is calculated three ways: the prior 6 months, the prior year or 12 months, or the lifetime of the machine (back to the first service call in service history). The CPC calculation includes the cost of parts entered on service calls from the Part (PART.DT) File, mileage cost, travel labor cost and mechanical time labor cost. Only machines that are placed at a customer site are included, such as custody machines, contract and non-contract machines. When selecting the item number option, there is a detail or summary version. The detail version provides the included figures for each individual serialized machine. The machines are printed in the order of the 12 month cost per copy calculation (highest to lowest cost). When entering the item number or specific serial number, the item and serial number searches are available.
Service history is used to gather the number of service calls and meter readings. Calls must be completed and the service ticket entered. This is determined by setting the ticket field (47) to Y for yes in Service Call Control File Maintenance and having an arrival time greater than 0 (zero). Custody CU calls are not included in any of the report calculations. Only parts in the Service Parts File (PART.DT) are included in the parts cost. This will provide the meter readings and mechanical time. The travel time can be read from Completed Call File Maintenance. Non-product time and miles can be read from Labor File Maintenance.
Rev 13 Changes
Prior to Revision 13 when choosing to exclude non-product time within the calls, non-product time was subtracted from mechanical time even if the non-product time was a larger number. This would make the mechanical time negative. If the non-product time is greater than the mechanical time, the report will no longer subtract it from the mechanical time. Program changes were made so that the mechanical time cannot go negative. For example, if the mechanical time is an hour, but there are three non-product time records that add up to two hours, the mechanical time will now be 0 instead of –30 minutes.
Also, during a serial number search, the Machine ID from the Serial (SERIALD) file will be displayed next to each machine. The Machine Description display was reduced to 23 characters from 32 in order to do this.
If there is only one service call within the 6 month or 12 month date range, the program will now use the AMV (Average Monthly Volume) in the Serial File (SERIALD) times 6 or 12 to calculate copies produced during the 6 or 12 month date range. This number is then used in the 6 or 12 month CPC calculation.
Also, internal program changes were made to correct problems with year 2000.
