Chart Budget Dollars Upload

Chart Budget Dollars Upload allows you to update budget dollar amounts in the Chart file from an ASCII tab or comma delimited file. The file needs to contain Account Number and twelve Budget Dollar figures for months 1 through 12. The dollar figures should be formatted with a decimal point and two decimal positions. The program gives the option of updating the current fiscal year’s budget figures, or a previous year. The program will ask the operator if the budget figures in all accounts should be zeroed out prior to running the program. This will allow accounts that are not in the ASCII file to be set to 0 prior to loading the new figures. The ASCII file must be named “BUDGET.TXT” and will need to be in the data directory or amsrc directory, or some shared directory. Contact LMS Support if you have questions on where to place the file. Once the program has ran successfully, the program will delete the BUDGET.TXT file, so you should keep a backup of the file on your local pc or some place safe. If the program encounters a stop code, the file will be deleted.

If the program encounters a budget field that is not numeric (does not contain numbers, period or comma’s), the program will print an error on the exception report and will update the account with a $0. If the Account Number field is not numeric, or is not valid, an error will print on the exception report and that Chart file will not be updated with that record’s budget amounts.
