Commitment Entry (CNDE013B)

Program Description

This program can be found on the Contract Data Entry menu (CN-1-13). This allows you to access all maintenance contracts that have an expiration date within the specified date range. Also included is method 3 contracts that have reached the expiration copies before the expiration date of the contract. These are meter renewals.

 

Each contract will be reviewed and the customer contacted to get an approval to renew and rebill the contract. A customer commitment is needed in order to rebill the contract. The 4 commitment statuses are Open, Hold, Delete, and Manual Price. A contract that is within the expired date range and no firm contact has been made is an Open contract. If the customer has been contacted, and no denial or commitment has been made, this is a Hold contract. If the customer wishes to not renew the contract, the status is Delete. And a Manual Price contract has more than one machine, group billing of contracts, or is a method 1 contract.

 

Contract Commitment Entry will also calculate a proposed base rate on Method 3 contracts. This is based on the setup of the Maintenance Price File in Contracts File Maintenance 5-3-3. This can be accepted or overridden. Contract History Inquiry can also be accessed. When a contract is committed, it can then be billed. Upon billing, the contract will be updated with the new base price, start and expiration date, purchase order number, contact name, sales rep 1 and 2, and method 3 expiration copies. Any contract messages that were added, changed, or deleted in the commitment program will also be written into the contract.

 

This only reflects maintenance contracts, not rentals or leases. Another feature of contract commitment entry is the option to create a contract history record. Contract history records are assigned to the serial number.
