Purchase Order Daily Procedures

This procedure allows you to complete daily tasks in Purchase Orders.

 

The objective of daily procedures is to set a daily pattern that each employee is aware of.  Your procedures may be more detailed than those stated below.  Please take note of the steps and verify that you understand the use of each step.  Included in the Purchase Order manual are complete operation instructions of all programs.

  1. Create P.O. Worksheets to have the system generate the order amount of items, based on the set up of the defined minimum and maximum amounts and the current amount available.

  2. Use Enter Direct P.O. to create purchase orders for items that you know the desired order quantity or you are entering the purchase order after it has already been sent to the vendor.

  3. Use Generate P.O. From Worksheet to edit any batch P.O.’s that were created.  Once the modifications are complete, generate the batch P.O. into an actual purchase order.

  4. Modifications to purchase orders can be entered in P.O. File Maintenance.

  5. Print the Purchase Orders, sending the original or a confirming copy (if necessary).  Distribute the other copies to the appropriate individuals.

  6. Enter P.O. Receipts for the day.

  7. Print the reports you desire.  Suggestions are the Pending Invoice Report, Pending Receipt Report, Variance Report and the Serial Number Receipts Report.

Note:  The Variance Report is recommended.  This report lists the items that the cost entered into inventory is not the same as what was entered on the Accounts Payable Invoice.  (See the Purchase Order Variance Procedures for complete details.)
