Remote Machine Custody (INDE011)

Program Description

This program can be found on the Inventory Data Entry menu (INV-1-11). This program allows you to place machines and the machines accessories on custody to a sales rep or customer, or remove them from custody to a sales rep or customer. This is all done remotely using a hand-held bar code gun. This feature will only work if Bar Coding and a Dolphin hand-held gun are installed and activated on your system.

  1. When scanning equipment that is placed on custody or removed from custody, the item and serial number of the machine must first be scanned. The accessories that you would like to have linked should also be scanned. This program will place the machine on custody or remove it from custody. The Serial File (SERIALD) will then be searched to find any accessories that are linked to the machine using the Host Item Number and Host Serial Number. These accessories will also be placed on custody or removed from custody. The program will then look at all the accessories that were scanned after the machine. The Accessory Y/N field in the Item file will be searched to decide whether or not the next item and serial number is an accessory or machine. The accessories that were scanned after the machine will be placed on custody or removed from custody. The host item and host serial number of the machine will be written into the Serial record for the accessory. This will link the accessory to the host.

  2. If machine tracking is activated, a machine tracking record will be created for both machines and accessories to show the custody entry or the custody removal.

  3. If the machine or accessory is already on custody, and the remote custody was set to place it on custody to another customer or sales rep, the machine or accessory will be removed from the original customer or sales rep and placed on custody to the new customer or sales rep.

  4. If the machine or accessory is placed at a customer site, an exception report will print and the machine or accessory will be skipped.

Enter R to run the report only. Enter U to update the files as well as run the report. Enter E to return to the menu.

 

Enter Start Date

Enter the start date for the custody entries. If all transactions scanned on the gun are for removals, this date will not be used. However, a valid date must be entered.

 

Enter Expiration Date

Enter the expiration date for the custody entries. If all transactions scanned on the gun are for removals, this date will not be used. However, a valid date must be entered.

 

Enter Problem Code For Machine Tracking

This prompt will only display if Machine Tracking is activated. Enter the problem for the machine tracking records to have. This must be a valid service code in the CODE.DT file. If machine tracking is not activated, this prompt will be skipped.

Enter Y to continue or enter N to return to the menu.

Enter P to place a machine on custody. An order is created and items are placed on the order. Enter R to remove a machine from custody. Items are then removed from the order.
