Sales Contact Sheets (SMRP006)

Program Description

This program can be found on the Sales Management Reports menu (SM-4-6). The main purpose of the Sales Contact Sheets program is to provide contact sheets of the prospects that need to be contacted. The contact sheets provide extensive information about a particular prospect. They are given to the sales reps to use when contacting their prospects. The detail contact sheets have an area for the sales reps to record the information that is entered into the Sales Activity Entry program, which can be found on the Sales Management Data Entry menu (SM-1-1).

When a sales activity is entered, a next contact date is entered. The next contact date is used to generate another contact for that prospect. A Sales Contact Sheet is printed based on the next contact date. The Sales Contact Sheets program can also be used to print a contact based on information stored in the Prospect Files (SMPROS.DT), such as specific zip codes or territories or the prospect’s existing machines. From the Sales Contact Sheets program, the sales activity is entered into the system through the Sales Activity Entry program. For further explanation of this program, please refer to the separate Sales Management manual.

Print C’omments Or A’ctivity

This is a new input to this report for the detail option only. Enter A for activity to print the last six sales activity entries for the prospect. Only the first line of the comment lines print for the prior activity. This is the way it has originally worked.

Results

The sample below shows a total of 12 lines. Under the heading III. Previous Sales Contacts, one line displays for the activity (marked with a date) and one for the comment below the activity. Six prior activities times 2 lines each equals the maximum of 12 lines. If there are no comment lines for the prior activity record, it still counts as a line to make up the 12 lines.

Enter C for comments to print only the prior activity and comment lines to equal a total of 12 lines. If the first activity has 11 comment lines, that will be the only activity to print. If an activity has no comments, then a blank line will not be counted, and only the activity line will be counted as part of the 12 lines.

This sample shows a total of 11 lines. The first activity record displays with 3 comment lines for a total of 4 lines. The second and third activity records display with no comment lines. The fourth activity record displays with 3 comment lines. The fifth activity record displays with no comment lines. The total is 12 lines.
