Ship to Customer Number Inquiry

The Ship To Customer Number Inquiry is found on the Collection Inquiry menu, 2-4.  Since the bill to customer is normally the customer that is the contact in collections, it is often helpful to also know the ship to customer numbers associated with the bill to number.  Knowing the ship to customer number is necessary when you want to find out the machines that are placed, any sales history, and any coupon books.  You also may need this number to call someone at the ship to site in regards to the collection situation.

 

The Ship To Customer Number Inquiry is used mostly within the Contact Entry program.  However, it is on the Inquiry menu for your convenience.

 

Enter Data

 

Enter Bill To Customer Number, Name Or E'nd

 

 

To exit the program, enter an E to end.  An ESC escape key may also be entered to exit the program.

 

There are two ways to access the desired bill to account number.  The first is to enter the bill to customer account number.  The second is to enter an alpha search of the customer name.

 

When at least one alpha character or an invalid customer is entered, the program enters an alpha search.  Up to 20 alphanumeric characters can be input.  The Customer File is searched.  If a customer's name matches exactly with the input, that customer name displays on the customer choice screen.  The following is displayed for each alpha customer choice selection.

No  A computer assigned line number.

 

Customer Name  The customer name that matches the alpha input.

 

Address  The first address line from the Customer File.

 

City  The customer's city from the Customer File.

 

St  The customer's state from the Customer File.

 

One of the two following prompts appears.

The first prompt appears when there are less than 15 customer choices.  The second prompt appears when there are more than 14 customer choices.  Enter a carriage return to accept the default of a N for next.  The next screen of selections appears.  Enter an E to exit the alpha search.  The cursor returns to the Enter Bill To Customer Number, Name Or E'nd prompt.  Enter the computer assigned line number that corresponds with the desired customer choice selection.  (3 Alphanumeric)

 

When entering a N for next, the next screen of alpha customer choices appear.  This prompt displays.

 

Display N'ext, P'revious, Select Customer Choice, Or E'nd:

 

Enter a carriage return to accept the default of a N for next.  The next screen of selections appears.  Enter an E to exit the alpha search.  The cursor returns to the Enter Bill To Customer Number, Name Or E'nd prompt.  Enter the computer assigned line number that corresponds with the desired customer choice selection.  Enter a P to go back one screen of selections.

 

Once the last screen is reached, this prompt appears.

If a line number is entered that does not exist, the prompt Selection Is Out Of Range, appears.  The cursor returns for re-input.  A line number from a previous screen can be entered.  The customer selection can be entered without displaying.

 

Once a customer is entered, all of the different ship to customer numbers that are linked in the Customer File Maintenance program to the inputted bill to number appear in the inquiry.  The cursor is at one of one of the two following prompts.

The first prompt appears when there are more than 7 ship to customer numbers linked to the bill to number.  The second prompt appears when there are less than 8 ship to customer numbers.  Enter a carriage return or an E to end to exit the account.  The cursor returns to the Enter Bill To Customer Number, Name, Or E'nd prompt.  When a N or a carriage return to accept the default of a N for next is input, the next screen of ship to customer numbers appears.  The cursor is at one of the two following prompts.

The first prompt appears until the last screen is accessed.  The second prompt appears when the last screen of ship to customers is reached.  Enter a N or a carriage return to view the next screen of ship to customer numbers.  Enter a P to go back one screen.  You may go forward and back as many screens as exist.  Enter an E to exit the account.  The cursor returns to the Bill To Customer Number, Name, Or E'nd prompt.

Bill To Customer Number:  The bill to customer number and name.

 

Customer  The ship to customer number.

 

Name  The ship to customer's full name.

 

City  The ship to customer's city.

 

St  The ship to customer's state abbreviation.

 

Zip Code  The ship to customer's zip code.

 

Address 1  The ship to customer's complete address 1.

 

Address 2  The ship to customer's complete address 2.
