    User Tips

    Crystal Report Security is Here

In the most recent Nextgen update (version 20060601.00), Crystal reports are now included in the Nextgen security system. Crystal reports access rights are controlled with Task ids, which are associated with an Application record and User record in Work with User Applications. The default Application id for all report Task ids is EVERY1RPTS. The field value that determines report access rights is the Inquiry Authority in the User Application record. The Inquiry Authority value for the Application id EVERY1RPTS is set to a default of 99, which means that any user with this Application record assigned to them has full access rights to run any reports.

In order to apply security to certain reports per user, the person designated to configure Nextgen security has the ability to change the Inquiry Authority value in the User Application record. If the Inquiry Authority is set to below 50, any reports that are associated with that User Application record will have inquiry rights only, which means the user is only able to view report parameters and not run the report or return any data.

    User Application Record

Setting the Inquiry Authority field to a value of 10 is recommended in order to restrict the user to inquiry mode only. If a report is run in inquiry mode only, it will display a message on the panel: "You do not have access to run this report. Please see your administrator."

If you want to assign a certain report or group of reports to a different User Application id in the standard list and have those reports set to inquiry mode only, you can change the Application id value in the Task record. Then, any report tasks that follow that User Application id can be run in inquiry mode only (if the Inquiry Authority value in the User Application record is set to 10, or at least below 50). Note: The "Task authority" field in the Task record DOES NOT play a part in report security.

If you want to assign a certain report or group of reports to a User Application id that does not exist in the standard list of Applications, you can create a new User Application record and set the Inquiry Authority value to 10 (or at lease below 50), which will then set any associated reports to inquiry mode only. The ability to change the Application id per report task gives you the freedom to set security rights for individual report objects, or groups of report objects for any given user.
