Fall 2005 Customer Conference Review
Once again, we would like to thank our many customers for another successful conference. Hosted for the first time in Wisconsin Dells, WI, we all got a chance to experience the rustic atmosphere of Great Wolf Lodge at the Fall 2005 La Crosse Customer Conference. Starting with Contract Freight/Fuel Surcharge and Sales Raptor demos on Wednesday, there were several informative training sessions for users of La Crosse Nextgen and The La Crosse System, as well as demos throughout the conference for those interested in the Raptor products.
Among the sessions offered in the 3 day event were Best Practices, demos of Sales Raptor and Tech Raptor, Predictive Index, and Fuel Surcharge/ Contract Freight feature used in both Nextgen and The La Crosse System. We also provided training seminars in several different areas of operations, such as AR, Billing, Collections, Contracts, Inventory, Orders, Purchase Orders, Service, and Telesales. Other topics that were covered involved Crystal Reports, Data Mining, SQL Script Writing, and Nextgen Update Administration.
Thanks to Casino 2005, the energy and excitement level was high as customers played real casino games like craps, black jack, roulette, and slots. At the end of the night, several prizes were raffled off and customers got a chance to win LMS sweatshirts, LMS duffle bags, movie tickets, a spa gift certificate, a hochunk casino gift certificate, a free onsite review trip, and a free onsite Crystal Reports training seminar.
A special thanks to Robin Bradley and Angela Forde for their hard work and dedication in planning for this event. We would also like to thank all LMS customers who took time out of their busy schedules to participate and make this event worthwhile. We will continue to do our best in providing quality training of our software products. We hope to see you and many more at our next customer conference in April 2006!

Unraveling the Mystery of Kits in Nextgen
If you work with kits in Nextgen, this question and answer section may be helpful in understanding how kits work, whether you are building them, or using them in Work with Orders or Work with PO.
Q: Where do you set up master kit items?
A: Work with Items. In the Item header record, indicate that the item is "Stocked as a kit" and/or "Serialized". Also, indicate in the Item id that the kit is predefined or manufacturer.
Q: Where do you set up kit line items that go into a kit?
A: Go to Work with Items. Then, highlight a valid master kit item, and select View> Work with Kits. Select Add to add line items to the kit.
Q: What are the 3 main types of kits?
A: Free Flowing, Predefined, and Manufacturer.
Q: What are the 7 different combinations of kits?
A: 1) Free Flowing, 2) Predefined Non-stocked Non-serialized, 3) Predefined Stocked Non-serialized, 4) Predefined Stocked Serialized, 5) Manufacturer Non-stocked Non-serialized, 6) Manufacturer Stocked Non-serialized, 7) Manufacturer Stocked Serialized.
Q: Can you have a non-stocked serialized kit?
A: No. A non-stocked kit would indicate that it does not exist as physical stock in a warehouse. Therefore, it cannot have a serial number because it is not a tangible item.
Q: What is the difference between a Predefined stocked kit and Manufacturer stocked kit in Work with PO?
A: When receiving a predefined stocked kit on a purchase order, you can see the individual kit line items, but not the master kit. When receiving a manufacturer stocked kit, you can only receive the master kit item. The exception to this rule is if you have "Number of boxes to be received" greater than one for a kit item record in the Vendor Item table.
Q: How can you receive manufacturer stocked kit lines vs. a master kit?
A: If the "Stocked as a Kit" field is not indicated in Work with Items for a master kit item, just the individual kit line items are received in PO Receipts. If the "Stocked as a Kit" field is indicated (marked), the master kit is received and not the individual kit line items.
Q: When building kits, can you build more than one at a time?
A: If you are building a serialized kit, you can only build one at a time. If it is non-stocked and non-serialized, it will depend on how many kit line items you have on hand. You can add up to the current on hand quantity.
Q: Can you add a serialized item as a kit line to a non-serialized stocked kit?
A: No. A stocked kit (marked "Stocked as a Kit" in Work with Items) would indicate that it will be received as a master kit item only and not as individual kit lines in PO Receipts. The system would actually allow you to add a serialized line item to a stocked kit in PO Detail, but in this case, it would not make sense to do this. You will not be able to add a serial record to the system for the serialized item when receiving the master kit.
Q: Can you add a quantity of 2 of a serialized stocked kit to a PO?
A: No. The current system only allows for a quantity of 1 on a serialized kit for a purchase order.
Q: Can you remove kit lines from the display of kit line items in Work with Purchase Order Line Items Details?
A: Yes. But you cannot remove them from the purchase order unless it is a predefined kit.
Q: Can you put a free flowing kit on a purchase order?
A: No. It is created only when you create an order. In purchase order receipts, you can only receive the items individually.
Q: Do kit lines have inventory when receiving a manufacturer stocked kit in one box?
A: No. A manufacturer stocked kit (serialized or non-serialized) has cost, revenue, and inventory all at the master kit level. Only a kit master item has an on hand quantity.
Q: Do kit lines have inventory when receiving a predefined stocked kit?
A: No. A predefined stocked kit (serialized or non-serialized) has cost, revenue, and inventory all at the master kit level.
Q: Where can you view items that are part of a serialized stocked kit?
A: In Work with Serial, filter for the master kit item, and select View Serialized Kit Detail from the View menu or right click context menu.
Q: Can you successfully void an invoice that contains a serialized stocked kit?
A: No. You must enter a credit memo at this time.
Q: When selling a serialized stocked kit, will it bring in the serial numbers of the kit line items as well?
A: Yes. This is taken from the View Serialized Kit Detail panel in Work with Serial.
How to Maintain a Method 3 Contract
Question:
What is the LMS recommended procedure to maintain a method 3 contract? We know how to set one up but we’re looking for how to maintain it. Example: 3 years or 180,000 copies, whichever comes first. I would assume the system automatically expires the contract when it reaches the "renewal date"? Does the system automatically terminate the contract when it reaches 180,001 copies? If not, what is the procedure to "catch" these?
Answer:
- If the meter goes over the copies included before the annual renewal, it bills again, changes the dates, and changes the start meter.
- If the meter does not go over the copies included at the same time as the billing month of renewal, it bills again, changes the dates, and changes the start meter.
- If the meter goes over the copies included at the same time as the annual renewal, it bills again, changes the dates, and changes the start meter.
Remember, a Method 3 contract is for one year or a certain number of copies, whichever comes first. If the copies are exceeded before the year is up, the base bills again. If the year is up before the copies are used, the unused copies are not credited towards the next year. Credited copies would be for a method 5 contract. To maintain a Method 3 contract, you need to establish the first meter due date. It is a good idea to start checking 8 months into the contract on an annual contract. In this example, start checking on month 18 of 36.

In the next six months, we will continue to define and refine our services to you. The goal remains to eliminate comments like "I didn’t know Nextgen could do that?" You will continue to receive regular electronic marketing pieces, letters, and web casts that identify ways for you to increase your knowledge about La Crosse Nextgen and all additional components. Our Certification Lab will add a proactive piece called "Risk Management". This feature will properly profile, scope, map, and detail new enhancements to ensure their results are in concert with the existing model. You will also see increased effectiveness in the tools we use from Computer Associates, Microsoft, and Crystal Reports, thus giving us more accuracy in our products for you.
In closing, we have products and services you may not be aware of, and you have features and capabilities on your system for which you are not using that could be highly advantageous and beneficial to your company. At the Fall Conference, we reviewed the feature offered in both The La Crosse System and Nextgen called Fuel Surcharge/ Contract Freight, which will significantly increase revenue (actual new dollars into your dealership). Small and medium dealerships are seeing increases of over $50,000.00 through $130,000.00 annually. Imagine what kind of revenue you could be pulling in if you are a large dealership. There is absolutely no logical reason to prevent all dealers from implementing this other than not knowing about it. Please take advantage of it!
